Company Onboarding

Company Onboarding

Companies with new business at the Airport who are requesting badging privileges should contact the Authorized Signatory of the existing DFW Board department or existing company who is sponsoring or “introducing” the new company to the Airport.

The steps are as follows:

  1. The Sponsored company must attend our Company Orientation webinar.

  • By attending this webinar, they will learn about the badging process, how to fill out their forms, potential roadblocks, and the Authorized Signatory’s role. It is essential to ensure a seamless onboarding.
  • We also offer monthly training webinars for active Authorized Signatories, which explain some roles and responsibilities, as well as some of the basics of navigating our system and upcoming changes at Access DFW.
  1. Complete the Required Documents
  1. Submit the required documents to Signatoryaccess@luyanpengart.com

Subject line: Sponsorship Form

  1. Access DFW will onboard the new company and designated Authorized Signatory (AS)
  • The first employee is the designated Authorized Signatory
  • If any information is missing or unclear, it will delay the onboarding process.
  1. Designated Authorized Signatory will receive an email to schedule their onboarding appointment.
  2. During the onboarding appointment, Access DFW will onboard and fingerprint the designated Authorized Signatory. The acceptable documents must be presented at this appointment.
  3. Once the security clearances are passed, the designated AS must complete necessary training (including Authorized Signatory training) and receive a badge.
  4. The AS will receive an email notification designating them as the official Authorized Signatory with login credentials to the Authorized Signatory portal.

If any of the information originally provided to us in the Sponsorship Form changes, such as the Company Name, contract dates, primary contact, etc., you must notify our office by emailing SignatoryAccess@luyanpengart.com.

__For any sponsored companies whose Sponsorship Forms you fill out, you are responsible for: __

  • Ensuring that the Sponsorship Form lists the correct access requirements
  • Managing vendor compliance within Airport regulations
  • Advising Access DFW when the sponsorship is no longer necessary, or the contract ends

Access DFW recommends assigning two Authorized Signatories per company to prevent delays in the badging process

Badge Recovery Plan

Company Badge Recovery Plan Every new company must provide a Company Badge Recovery Plan as part of the onboarding process. The TSA requires that the Airport’s unaccountable badges stay below a regulated threshold, and as the AS it is your responsibility that all badges are returned to Access DFW within 5 days of termination. This form is provided to help you to create and outline the steps that you will take as a company for the return of badges. A few suggestions for best practice can be found here.

Employee Badge Recovery Plan Every new company should provide an Employee Badge Recovery Plan as part of the onboarding process. The TSA requires that the Airport’s unaccountable badges stay below a regulated threshold, and as the AS it is your responsibility that all badges are returned to Access DFW within 5 days of termination. This form helps you to create and outline the steps that you will take with individual badge holders for the return of their badges.

Company Offboarding

It is your responsibility to off-board a company you sponsored when they are no longer doing work at DFW Airport. “Company Off-boarding” is the process of ending the contract, inactivating the company in SAFE, notifying DFW Airport, and regaining DFW Airport property. For any company that is no longer conducting business at DFW Airport, you must do the following:

Notify Access DFW 30 days prior to the contract ending. You must do this in writing to SignatoryAccess@luyanpengart.com.
Schedule and attend an Off-boarding meeting with Access DFW to discuss the process of inactivating the company and regaining Airport ID media (badges, keys, and permits). You must schedule your appointment 30 days prior to your contract end date by going to 7l4iru3a.luyanpengart.com/accessdfw, clicking the Join the Line button, and choosing the Off-Boarding appointment type. Return all Airport ID media no later than 5 business days from the date the Airport ID badges are deactivated. Unreturned badges are a criminal offense (Class C misdemeanor) and every badge holder is required to attest to this statement when they receive their badge:

Failure to Return Security Credentials: My signature below indicates that I have read and understood the following: Failure to Return Security Credentials Statement: I understand and acknowledge that it is a criminal offense (Class C misdemeanor) to fail to return DFW Airport Security Credentials upon cessation or termination of employment at DFW Airport or upon notice from the DFW Airport Board that such security credentials have been revoked. DFW Airport Board Rules and Regulations Section 3-22. Failure to off-board companies as described above could exclude your company from participating in future business with DFW Airport.
